You can make a global change to the way the data in the Salutation field is handled for existing contacts by following the steps below:
- Click Tools > Preferences…
- If not already there, navigate to the General tab
- Click Salutation Preferences
- Choose one of the following options from the Salutation Preferences window:
- Do not fill salutation
- Use contact’s first name
- Use contact’s last name
- Use last name including first name prefix
- Use last name including first name prefix and last name suffix
- Use first and last names only
- Do not fill salutation
- Click OK, then close the Preferences window to save the preferences for all future contacts
Important Note: If using the option to include a prefix or a suffix, the prefix or suffix must be present in the Contact field in order for it to update in the Salutation field.
- If you wish to update the existing contacts, Click Tools > Update Salutation field
- In the Update Salutation Field dialog, select to update the Salutation field for one of the following:
- Current Contact
- Current Lookup
- All Contacts
- Current Contact
- Click OK and wait for the status indicator to complete
