You would like to transfer the members of a specific Group or Company from your ACT! database to another ACT! database or a text delimited file.
The ACT! Export Wizard allows you to export only the Current Lookup of Contact records. In order to export only the members of a specific Group or Company, you must first create a lookup of these contact records before running the Export. Exporting Contact records does NOT remove these records from the source database.
Note: Files attached to the Notes, History or Documents tabs will not be exported.
Follow the steps below:
To Create a Lookup of Group or Company Members:
From the Group Detail or Company Detail View:
Before exporting Contacts to another ACT! database with existing data, it is imperative to verify the duplicate matching criteria in the database you will be exporting to:

- Click the Contacts tab to display all members of your Group or Company.
- Right-click within the Contacts tab, and then click Create Lookup from the shortcut menu. The Contact List view appears with your group or company members displayed as the current lookup.
- Omit group or company members from the lookup as desired.

Before exporting Contacts to another ACT! database with existing data, it is imperative to verify the duplicate matching criteria in the database you will be exporting to:
To check the duplicate matching criteria:
- Click the Tools menu, then click Preferences and from the General Tab, click on Duplicate Checking. The Duplicate Checking Field dialog box appears:
Note: Browse users will not have access to this feature.
- The Duplicate Checking dialog will open prompting you to verify the fields and field order that will best distinguish duplicate contacts in the databases you will be merging.
- If you would like to adjust the Duplicate Checking criteria, click the drop-down arrow for the Match Contact records on: field and/or either Then on: field, double click the field you would like to match duplicates on and then click OK to close the Duplicate Checking dialog and save the settings.
To Export the Current Lookup of Contact Records
- Click the File menu, and then click Export. The Export Wizard - Welcome to the Export Wizard dialog box appears:
- Enable (if desired) the Check to hide in the future option, and then click Next. The Export Wizard - Specify Destination dialog box appears:
Note: Images in your version of ACT! may differ slightly from the images used in this Answer.
- Ensure that the What type of file do you want to export to? field displays ACT! Database 10.x, (ACT! Database 9.x, ACT! Database 8.x or ACT! Database 7.x) in the file type field.
- Click the Browse button at the Filename and location field. An Open dialog box appears.
- Browse to (if necessary), and Open the database that you wish to export your data to. The Export Wizard - Specify Destination dialog box reappears with the Filename and location field now populated with the file path to the destination database.
- Enter the User Name and (if necessary) the Password for the destination database, and then click Next. The Export Wizard - Specify record type(s) dialog box appears:
- Ensure that Contact Records is enabled for the kind of records and Current Lookup is enabled for Which records you wish to export, and then click Next.
- If you are exporting to a text delimited file, a Specify Export Options dialog box appears:
Enable the appropriate field separator and the Yes, export field names option (if desired), and then click Next. The Export Wizard - Contact Map dialog box appears:
You may remove fields from the export, save your data exchange map or load a map that has already been saved. Click Next when finished. - If you are exporting to another ACT! database, the Export Wizard - Contact Map dialog box appears:
Note: The left (Map this Field) column of the contact map displays the fields in the source database while the right (To this Field) column displays the fields in the destination database. When exporting to an empty copy of your custom database or exporting to a new database from an unmodified database, you can expect the fields in the left column to match the fields in the right column. However, it is strongly recommended that you scroll through the entire list to ensure that the data in all fields of the source database are being directed to the correct field in the destination database. If you find a field in the left column that does not match the entry in the right column or if you wish to change the location of data in the destination database, you can click into the right column and change the destination field from the drop-down.
Note: If you have enable more then one of the What kind of records would you like to export? you will have the Mapping dialog box for each option enabled. Map these option the same as you would the Contact fields.
Note: you can only map a field to one other field, selecting the field again in this list will blank or remove the first selection.
- If you are exporting to a text delimited file, a Specify Export Options dialog box appears:
- When you are sure that all fields are mapped correctly, click Next. The Export Wizard - Specify Merge Options dialog box appears:
Note: If you enable the Confirm each match option, you will receive a Merge Confirmation dialog box each time a potential duplicate is encountered in the import process. This Merge Confirmation dialog box will allow you to Add, Skip or Merge a specific incoming record. If you have a large number of potential duplicate contact records in the destination database, it is recommended that you do not enable this option.
- Whether you consider Merge Options will depend upon whether you are exporting to an empty database or a database that is already populated with Contact records.
- If you are exporting to an empty copy or a new database, there is no need to consider merge options. Click Next.
- If you are exporting to a database that has existing Contact records, click the appropriate Merge Options button. The Merge Options dialog box appears:
- If source records match destination records, merge options include Merge, Replace with newest, Replace with source or Do not change. If source records do not match destination records, merge options are limited to Add or Do Not Add. Once your merge options have been specified, click OK to close the Merge Options dialog box. Enable the Confirm each match option, (if desired) and then click Next.
The Export Wizard - Completing Export Wizard dialog box appears:
- If the summary of your export options is not correct, click the Back button until you can correct the settings. If the summary of your export options is correct, click the Finish button. An Exporting Data progress indicator appears:
- When the progress indicator has completed, your data has been exported to the destination database. To access this database, click the File menu, click Open Database and then navigate to the location of your database (if necessary) to open it.
