Question: How do I Use the Opportunity Pipeline View?
Product Details:
Product Family: Act!
Version: v21 and above
Answer:
Note: This feature requires an Act! subscription.
Act! v21 introduces a new look in how you interact and work with your sales pipeline. The Pipeline View is a dynamic new feature that will allow users to quickly and easily see how many of their deals fall into each stage of their sales process, and the total value of each stage. They can also see details of each individual Opportunity and move these through that sales process with an all-new drag & drop sales Kanban board.
Note: The Pipeline View shows details of your OPEN Opportunities ONLY.
Filters
Firstly, in order to view the Filters list, click the button in the top right corner.
You will then need to make sure that you have selected the correct Sales Process that you wish to display in your Pipeline View:
This will then display the pipeline graph for that particular Sales Process. You can use more Filters to narrow down your selection even more. For example, you may wish to change the Stages being displayed, or perhaps change the Users dropdown to only view the pipeline for the Opportunities that belong to a specific user. The Date Range Filter refers to the Actual Close Date or Estimated Close Date of your Opportunities. The Filters that you select will affect the pipeline graph, the KPIs being displayed, and the Kanban board discussed below.
Pipeline Graph
By clicking on the labelled Stages next to the Pipeline graph, you can toggle their display on or off:
You can also toggle between a total Count and Value of your Opportunities in each stage:
KPI Display
As part of the Pipeline View, Act! includes a display of Key Performance Indicators (KPIs). They display the following important information:
- Count - How many Opportunities are being displayed based on the Filters selected
- Total Value - The combined total value of all the Opportunities being displayed based on the Filters selected
- Weighted Value - The combined weighted total of all the Opportunities being displayed based on the Filters selected
- Forecasted Value - This is the combined weighted total of all the Opportunities being displayed that have an Estimated Close Date in the future
- Average Opportunity Age - The average amount of days the Opportunities being displayed have been Open
Kanban Board
The Kanban board that displays at the bottom of the Pipeline View will show each of the Stages in the currently filtered Sales Process. If you wish to display only a selection of your Stages, you can use the appropriate Filter on the right side of the screen.
Under each header you will see a list of all of the Opportunities currently in that Stage (again these lists are also affected by the filters that have been selected). Each of the Stage columns can be sorted by:
- Name
- Contact
- Company
- Est. Close
- Est. Value
You can sort in Ascending or Descending order using the Arrow icon directly next to the sort options.
One particularly useful feature of the Kanban board is the ability to very quickly and easily move any Opportunity to a different Stage simply by dragging and dropping an Opportunity into another column:
Finally, by clicking on the Name of an Opportunity in the Kanban board columns you will jump to the Detail View for that Opportunity.
